Cardreader & Downloader User Guide

What's in the box.....

Vehicle Unit cable ( Grey with black connectors )

Small plastic bag containing 1 short & 2 long screws
( Long screws for securing cradle to desktop, short screw for securing Cardreader to cradle )

Description.....
The Cardreader / Downloader is a compact easy to use, mobile lightweight device for the downloading of Driver Card data and Vehicle Unit data ready for sending for analysis & archiving.
On the front of the reader below the black screen are four buttons.
From the left.......
Button 1 : Press to start download from Driver Card.
Button 2 : Press to perform PARTIAL Vehicle Unit download.
Button 3 : Press to perform FULL Vehicle Unit download.
Button 4 : On / Off
The connector for the Vehicle Unit download cable is on the lefthand side of the reader.
The USB port used to transfer downloaded data from the reader to your PC is on the righthand side.
The Cardreader / Downloader has sufficient memory to hold approx 500 Driver Cards' worth of data or approx 50 FULL Vehicle Units' worth of data.
Do not use the reader as a storage/archive medium, only use the reader for the movement of the data from either Driver Card or Vehicle Unit to your PC for forwarding for analysis.

Getting started.....
Fit the batteries and test by pressing on / off button until reader beeps. There should be a green light flashing on the screen just above the on / off button.
To switch off, press on / off button until reader beeps.

Download Driver Card data into reader.....
Press & hold button 4 until reader beeps to switch on.
Insert Driver Card ( If the card is inserted incorrectly, after a couple of seconds, the green light turns red & the reader will beep ).
Briefly press button 1. The single flashing light now becomes a series of flashing green lights pulsating from right to left at the bottom of the screen.
When the download of data from that card is complete the single flashing light returns & the reader beeps.
On average it takes a couple minutes to download the data files for each Driver Card.
Repeat the process for each Driver Card.

Download Vehicle Unit data into reader.....
Use grey cable with black connectors.
Insert the rectangular connector into the correct socket on the Vehicle Unit.
Plug the other end into the round socket on the lefthand side of the reader.
Switch the reader on.
If you want to download ALL data from the Vehicle Unit press button 3, flashing lights appear again until download completed, when single flashing light above the on / off switch appears the download is finished for that vehicle.
If you want a PARTIAL download press button 2 instead of button 3.
Unplug from Vehicle Unit and move to next vehicle.
When all vehicles downloaded unplug cable from reader and keep the cable in a safe place.

For the first download of data use button 3 FULL download.
For subsequent downloads use button 2 PARTIAL download. The Vehicle Unit remembers when the last download was performed and will only download fresh data accumulated since the last download. This prevents sending duplicate data.

Transfer data files to PC.....
Skip this step UNLESS you wish to keep copies of the data files on your PC.
Create a folder for each driver.
Create a folder for each vehicle>
Open WINDOWS EXPLORER
Use the USB cable supplied to connect the reader to you PC.
Windows will recognise the reader and show it as a new hard drive or a mass storage device in the lefthand window.
Click on this new device & the contents of the reader ( the data files you have just downloaded to it ) will appear in the righthand window.
If these files are Driver Card downloads the file name will contain the name of the driver.
Drag and drop the individual driver file to the previously created folder for that driver.
Repeat for each driver.
If these files are Vehicle Unit downloads the file name will contain the registration number of the vehicle.
Drag and drop the individual vehicle file to the previously created folder for that vehicle.
Repeat for each vehicle.
Remember that by dragging & dropping, you are only copying the data files to the relevant folders, not moving them.

Send data files via EMAIL.....
Open WINDOWS EXPLORER.
Use the USB cable supplied to connect the reader to you PC.
Windows will recognise the reader and show it as a new hard drive or a mass storage device in the lefthand window.
Open your email client.
Send to liz @ lizstaples.com ( no spaces )
In the subject line YOU MUST enter company name and depot, For example if your company is " E J STAPLES TRANSPORT CO LTD " and your depot is in " Burton upon Trent " then you would enter : STAPLES Burton digital tachograph files.
It is vital you do it in this way to allow the email & its' attachment to pass security checks on incoming emails.
Otherwise the email & attachment WILL be deleted before it is seen.
Click on 'attach' and navigate to the data files, attach to the message & hit send.
Please note that ISP's often impose an attachment file size limit.

Send data files via memory stick.....
Open WINDOWS EXPLORER.
Use the USB cable supplied to connect the reader to you PC.
Windows will recognise the reader and show it as a new hard drive or a mass storage device in the lefthand window.
Click it, contents of reader will appear in righthand window.
Plug in memory stick.
Windows will recognise the memory stick and show it as a new hard drive or a mass storage device in the lefthand window.
Drag and drop the files to the memory stick & post, with a compliment slip, to :

However received the data will be analysed and the reports sent to you, just as now with your tachograph charts.

Important note for users of a mixed fleet of analogue and digital tachographs where a driver uses both in the same week.....
So that the weekly reports that are returned to you contain both analogue & digital 'days' both the tachograph charts and the digital files must be on hand before the analysis process is started. Please call on 01283 561364 to discuss the best way, for you, to achieve this.

Cardreader / Downloader internal memory.....
The reader will hold the download files in memory, so, to prevent sending duplicate files it is a good idea to delete any DATA FILES ONLY in its memory just before perfoming a download.
Simply open Windows Explorer, switch the reader on, connect to the USB port, click on the reader in the lefthand window and delete the DATA FILES ONLY - NOT THE CONFIG.DAT FILE, that appear in the righthand window.
That clears what was in the reader memory so you know that any files appearing after download are fresh & ok to send.
